  • Be available for student queries in person for the weeks around enrolment time and the deadlines for changing and discontinuing subjects and courses.

BComputing Credit studies/transfer

From Sylvia Tucker:

  • Assess for credit into the B. Computing, whole courses from TAFE and Private Providers (both local and international) who wish to establish a credit arrangement with FIT. This credit is displayed in CASPA.
  • Reassess above courses whenever changes occur on either side.
  • Assess credit for individual students if they do not fall into categories/courses already assessed and entered into CASPA: two weeks before and after start of each semester is very busy.
  • Liaise with local Education providers to keep everyone up to date on course developments.
  • Monitor students with credit to establish if level of credit given was appropriate.
  • Advise students on all credit and course matters.
  • Liaise with Faculty admin to resolve student problems relating to credit and course progression.
  • Duties are assessed to take approx 1 day of work each week.

  • Assess, approve/deny credit xfer applications. Possible credit approvals include: general credit (at different years), special credit (e.g., cs elective credit), specific credit (subject equivalencies)
  • Credit for BCS has thus far generally been on a case-by-case basis the possibility exists of establishing a default set of credits for specific degree programs from specific institutions (as BComp, among others, has done). this remains an open issue.

Note: it's important that records of past decisions be kept as sometimes the faculty, etc. muck things up & reference to those decisions needs to be made.

BComputing Coordinator

From Dianne Hagan:

  • Prepare and deliver enrolment presentation to beginning BComp students (often three presentations for the BComp: A-K, L-Z and International, with possibly a fourth presentation for part-time students and transfers).
  • Assess credit transfer for beginning BComp students after the presentation (in conjunction with faculty office and BComp Credit Transfer Officer).
  • Give course advice to BComp students at all levels, including those in old versions of the course and double degrees. This advice may be in person, or by phone or email.
  • Liaise with the faculty office regarding course completions, information to be sent to students, credit transfers, cross-institutional transfers and exchange student programs.
  • Liaise with Monash College about their BComp-related subjects and credit given for them.
  • Liaise with Holmesglen TAFE about the seamless articulation program between their Diploma of IT (Software Development) and the BComp.
  • Liaise with the School of Business and Economics regarding the double degrees and students enrolled in them. Attend meetings of the Faculty of BusEco/Faculty of IT Consultative Committee.
  • Coordinate the BComp product group in their various roles (credit transfer officer, second and third year coordinators, administrative support, course advisors).
  • Chair BComp product group meetings.
  • Organise (and chair if necessary) BComp student/staff meetings.
  • Keep in contact with overseas campuses offering the BComp (South Africa and Malaysia). Handle any course-related queries or problems they might have.
  • Monitor the delivery of BComp subjects to overseas campuses. Liaise between lecturers there and at Caulfield.
  • Keep in contact with overseas institutions running twinning programs with the BComp (e.g. APIIT) and monitor the delivery of BComp subjects there.
  • Regularly re-assess the APIIT Higher Diplomas for any changes required to the credit given to those students when they arrive in Melbourne.
  • Attend Allocate+ feedback sessions.
  • Represent the BComp whenever required, e.g. School Symposium, CHEQ meetings, Holmesglen TAFE moderation meetings, Monash College meetings, meetings re revised TAFE curriculum, etc.
  • Attend School and Faculty Board of Examiners meetings for BComp students.
  • Advise lecturers on handling cases of suspected cheating.
  • Handle problems encountered by lecturers in the teaching of BComp subjects.
  • Handle student complaints about lecturers or subjects.
  • Attend Educational Program Advisory Committee meetings.
  • Assess credit for students wishing to engage in exchange programs.
  • Arrange alternative examinations for students in need (e.g. in Malaysia).
  • Maintain the BComp website and respond to anonymous feedback queries from it.
  • Make requests to SEC regarding subject substitutions and changes to course requirements for particular students.
  • Prepare or check documentation related to new subject proposals or changes to existing subjects.

 Course Advice:

  • Enrolment advice and authorisation of Units of study
  • Advice to students on "Core" Units required for different degrees and selection of Elective Units
  • Course completion advice: involves checking if the student seeking help has completed all the Units required for a degree. Sometimes they are referred to Faculty Office for confirmation. Students are referred to Associate Head of SCSSE, Clayton Campus if exceptions are to be made for degree completion. For example, award of an "NP" grade for the last Unit of a degree.
  • Course advice crossing year level boundaries: Student queries are dealt with and, only when required, advised to see specific year level co-ordinator.

Student consultation in general:

  • Course transfer: Student seeking transfer is listened to and then, depending on individual situation, is advised accordingly. Often they are advised to consult the Faculty Office for information on time of application and to obtain the required application form.
  • Credit transfer: Student is briefed about our course requirement and then referred to the academic dealing with the credit transfer issues.
  • Admission enquiries: Enquiries on admission in various Computer Science courses including double degrees are often referred to the course co-ordinator by the Faculty Office and the School Office.
  • Student in difficulty: Students (including International Students) facing study difficulties such as falling behind in assignment submission due to late arrival/enrolment, personal/health/family reasons are patiently listened to and then advised accordingly.

 The responsibility of the Coordinator for Higher Degree by Research Programmes (or HDR coordinator for short) is to ensure the School's HDR programmes to be internationally competitive, high quality and standards, coherent and productive.

 The HDR coordinator performs the following duties with regard to school's HDR programmes:

  • Promote and publicise school's HDR programmes to potential candidates;
  • Advise HDR applicants on issues related to entrance requirements for HDR programmes, general research activities, academic/research staff and research groups of the School, scholarships and opportunities;
  • Give induction talks to new HDR students from time to time and advise them on general university, especially in relation to the School, HDR regulations and policies as appropriate;
  • Help to ensure adequate supervision arrangement and research facilities/environment provided to HDR students and any complaints related to the above be dealt with promptly;
  • Assist the Head of the School to form HDR review/grievance panel and serve on it as an ex officio member;
  • Assess HDR applications and advise the Head of the School with recommendations, including seeking advice from other academic/research staff as required in the assessment process;
  • Advise the School on issues related to HDR management and serve on the School Research Committee as an ex officio member.
  • Serve on the School Scholarship Subcommittee, participating in processing scholarship applications and making recommendations;
  • Assist the Head of the School in HDR students' annual report and mid-year report review process, if required;
  • Contribute to the School nomination/recommendation of high performance HDR candidates for awards.

  • Source client projects (one per group of 5 students). Clients are preferred to be external to Monash Uni.
  • Source supervisors for projects (to make up the shortfall from the internal staff).
  • Conduct supervisor induction sessions on the procedures used by our project.
  • Attend and assess all student presentations (2 per student group per project)
  • Review project design documents prepared by each group.
  • Attend and assess all student technical walkthroughs (based on the reviewed design documents;2 per student group per project)
  • Conduct 8 seminars on various aspects of project management/requirements. Note that there are three subject intakes - CSE3200, CSE3200T and CSE3200S)
  • Enter all project, client, student and staff details in the WIER database to assist in project administration.
  • Check that each group has submitted their final project CD and submitted their web page entry to the WIER site.
  • Follow up with clients twice in the duration of the project - once at mid year and once at project completion.
  • Clear the disk workspace area for completed projects from the WIER site.
  • Attend to client queries/problems as required.
  • Attend to supervisor queries/problems as required.
  • Attend to student (individually or as a group) queries/problems as required.
  • Substitute as supervisor when the allocated group supervisor is unavailable due to other committments such as conference leave/ illness/etc.

  • Assist with the selection of periodicals for cancellation. (Fortunately, this has not been necessary for a number of years, as it is time-consuming.)
  • Send to Subject Librarian book orders that are requested by members of staff (staff can send them direct, but many still send them via the library liaison officer).

Women in Computing Student Group

From Ann Nicholson:

No activities in 2001 as I was on OSP. Usually involves lunch early in year, focus on inviting new female CSSE students, so they can meet other students including upper year, and female staff.

Also facilitating any activity students are interested in, such as other lunches and guest speakers.

Advanced Undergraduate Program (BCmpSc)

Co-ordinator:

  • plan schedule of talks in 1st Semester
  • recruit speakers for advanced talks in 1st Semester
  • preview some of these talks with speaker, and offer some guidance to less experienced speakers
  • attend some talks in 1st Semester
  • offer some feedback to speakers after talks
  • answer student queries about talks schedule
  • assess suitability of supervisors and projects offered in 2nd Semester
  • guide Assistant Lecturer in running projects in 2nd Semester
  • advise advanced students on other opportunities for advanced students, e.g. programming competitions

Assistant Lecturer:

  • book rooms, facilities
  • attend some talks in 1st Semester
  • arrange Linux accounts in 1st Semester
  • assist in speaker recruitment in 1st Semester
  • recruit project supervisors in 2nd Semester
  • look after registration, enrolments and withdrawals in 2nd Sem
  • arrange initial meeting re projects in 2nd Semester
  • allocate students to projects and supervisors
  • arrange interim and final presentations/demos (2nd Sem)
  • advertise to students
  • maintain web site
  • ensure speakers (1st Sem) and supervisors (2nd Sem) get paid (unless they are academic staff)

Monash Malaysia Co-ordinator - current ?

Answer queries from staff in Malaysia (can be anything: typically, they seek info on matters such as: who teaches/does what, subject content, texts and other materials, online stuff, assessment, lab facilities and requirements, deadlines)

  • usually pass queries on to the appropriate person (most often the relevant subject co-ordinator)
  • sometimes make enquiries to help resolve some difficulty
  • make occasional recommendations for ongoing management of the CSSE-Malaysia relationship
  • meet with Malaysian staff when they visit CSSE

Pearcey Centre Co-ordination

From Chris Avram:

  • To review annually (end of year) the relationship between the Pearcey centre and SCSSE, finances, communications and developments are reviewed;
  • To review enrolments in CSSE subjects at the beginning of each Pearcey semester, special attention to be paid to subjects with enrolments at the economic margin (7 - 12 students)
  • To try to identify strategic advantage in running such subjects;
  • To review annually (beginning of year) rates of pay, arrangements for support, and available staff of the coming years Pearcey activity;
  • To report to the SCSSE Management Committee changes to and significant events in the relationship between the school and Pearcey.

Faculty Publicity Committee Rep -

  • provide a liaison between CSSE Marketing group and Faculty Marketing group
  • attend 4-6 meetings a year
  • report on CSSE Marketing activities
  • assist in the planning of Faculty Marketing activities such as Open Day, Postgraduate Information evening, IT teachers' seminar
  • assist in the development of Faculty promotional material
