Tracking Process and Protocols

Submission: Submission of papers, reviews and votes is electronic via our web interface, which extracts and records relevant information and triggers automated workflow activities.

Review Preferences: There is a short window for reviewers to indicate paper allocation preferences. Typically that window opens when we are still accepting some papers with an extended deadline (granted only in special circumstances). We expect reviewers to indicate in the preferences any potential conflict of interest, e.g. papers whose authors they are associated with or that are in direct competition with their own work or their own submitted paper (if any).

Review Allocation: In the allocation of reviews, the Handling Chair makes every attempt to cater for reviewer profiles and preferences, in particular to cater for the expertise profile of reviewers and to exclude any potential conflict of interest. For quality control, all potential conflicts are recorded explicitly and brought to the attention of the Chairs. Beyond that, allocation is random.

Review Process: Reviews are submitted using our web interface. If Reviewers delegate some of their reviews, it is imperative that they form (and formulate) their own judgement, provide detailed comments and feel comfortable with the final evaluation submitted. It is not uncommon during the selection, that the Chairs request additional review information, for example, to resolve conflicting views received from different Reviewers.

Ranking: The Program Chair collates and summarises the review information including a list of submitted papers ranked by average overall scores. Papers are marked as tentatively accepted, undecided, or rejected. The information can be viewed and downloaded from our web site by PC members only and respecting conflicts. For instance, PC members who submitted papers will receive information on their papers only during the notification process and not including comments to the PC.

Selection: A Virtual Program Committee (PC) meeting permits Discussion followed by Resolution. During Discussion, PC members submit items, such as challenging, or commenting on, reviews, papers and ranking. The full Discussion is made available on our web site to include a summary of undecided issues and issues raised per paper. During the subsequent Resolution phase, PC members vote to accept or reject undecided papers and issues. Ultimately, the Chairs finalize and publish the selection based on the Resolution.

Notification: The Handling Chair notifies the author(s) of the selection outcome electronically.

Final Submission: Accepted papers are revised according to pre-specified format and electronically submitted.
